General Policy

Our Terms and Conditions
Making your booking1.1To confirm a booking, the party leader must complete the on-line booking form.He/she must Be authorised to make the booking on the basis of these Booking Conditions by all persons named on the bookingand their parent or guardian for all party members who are under 18 when the booking is made.By submitting the booking form, the party leader confirms that he/she is so authorised.The party leader is responsible for making all payments due to us.The party leader must be at least 18 when the booking is made.1.2Once Saxonville Hotel has received your booking form and all appropriate payments (see clause2), Saxonville Hotel will, subject to availability, confirm your booking by issuing an e- mail confirmation.Please check this e- mail carefully as soon as you receive it.Contact us immediately if any information which appears on the confirmation or any other document appears to be incorrect or incomplete as it may not be possible to make changes later. Payment 2.1 In order to confirm your booking, full payment per person must be paid to Saxonville Hotel at the time of booking.Thefull payment will be deducted from your debit or credit card (whichever is indicated by you) on receipt of your booking by form by Saxonville Hotel. Except as specified below, all deposits are non-refundable.2.2The amount of full payment due will be notified to you prior to completion of your booking form.2.3Any balance due must be paid by the date specified by us.If you do not pay the balance in full and on time by the due date we are entitled to assume that you wish to cancel your booking.In this case we will be entitled to keep all deposits paid due at that date. Your Contract3A binding contract is formed between you and us when your booking confirmation is sent to you.This contract and all matters arising out of it are governed by English law.We both agree that any dispute, claim or other matter which arises out of or in connection with this contract or your holiday will be dealt with the Courts of England and Wales only.Insurance4It is advisable for you to take out adequate Holiday Insurance Cover which should at least provide comprehensive cover if you have to cancel your booking.You should always check with your chosen insurance supplier what the policy you choose would provide cover for (ie ill health, redundancy etc).It is your responsibility to ensure that the insurance you purchase is adequate for your needs.Cancellations5Should you wish to cancel all, or part, of your booking after confirmation, you will be liable to cancellation charges.If your cancellation is covered by insurance, you will be eligible to reclaim these cancellation costs from your insurance supplier.Claims must be made direct to the insurer.
Number of days before arrival date that notification of cancellation is receivedis 14 days, The full amount is payable. Full Changes and Cancellations by us. 6 If we have to make a significant change or cancel, we will tell you as soon as possible.If there is time to do so before the start date of your booking, we will offer you the choice of the following options:-• (for significant changes) accepting the changed arrangements• purchasing alternative arrangements from us, of a similar standard to that originally booked if available.If the alternative arrangements we offer you are more expensive, we will not askyou to pay any more.If the alternative is less expensive, we will refund the difference to you.• cancelling or accepting the cancellation in which case you will receive a full and quick refund of all monies you have paid to us. Please note, the above options are not available where any change made is a minor one. Force Majeure7Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by or you otherwise suffer any damage or loss as a result of circumstances beyond our control.Such events may include war or threat of war, riot, civil strife, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control. Booking including Accommodation8.1You may arrive at your accommodation from 2 pm on the confirmed arrival date.Vacation of your accommodation must be no later that 10.30 am on your confirmed departure date.Any changes to these times must be agreed with us prior to arrival.If your arrival time is expected to be later than 9 pm, notification must be given to us.8.2 The accommodation is provided for the benefit of you and each other person entitled to use said accommodation (ie members of your holiday group as detailed on your booking confirmation).You may not, therefore, provide access to the accommodation or transfer occupation to any other person without our prior written agreement.Behaviour9When you book with us, you accept responsibility for any damage or loss caused by you or any member of your party.Full payment for any such damage or loss must be paid direct at the time to us.If you fail to do so, you will be responsible for meeting any claims subsequently made against us (together with our own and other party’s full legal costs) as a result of your actions. We expect all clients to have consideration for other people.If in our reasonable opinion or in the reasonable opinion of any other person in authority, you or any member of your party behaves in such a way as to cause or be likely to cause danger, upset our distress to any third party or damage to property, we are entitled, without prior notice, to terminate the booking of the person(s) concerned.In this situation, the person(s) concerned will be required to leave the accommodation or other service.We will have no further responsibility toward such person(s).No refunds will be made and we will not pay any expenses or costs incurred as a result of the termination.

Contacting us

10.1 In all cases, any notice, request or instruction to be given in association with your booking shall be supplied via e-mail to the address indicated on the Booking Form or such other address as
may be subsequently notified.
10.2 In using e-mail transmission, it shall be deemed to have been served on the expiration of 12 hours after despatch.

Our Liability

11.1 We promise to make sure that all parts of your booking which we have agreed to arrange, perform or provide as part of our contract with you are arranged, performed or provided with reasonable skill and care.We will accept responsibility if any death, personal injury, failure or deficiency of your confirmed arrangements is caused by any failure by ourselves or our employees ( providing they were at the time acting within the course of their employment) to use reasonable skill and care in performing or providing the service in question.Please note it is your responsibility to show that reasonable skill and care has not been used if you wish to make a claim.
11.2We will not be responsible for any injury, illness, death, loss (for example loss of enjoyment),
damage, expense, cost or other sum or claim of any description whatsoever which results from
any for the following:-

• the fault of the person(s) affected or any member(s) of their party or
• the fault of a third party not connected with the provision of your confirmed arrangements which we could not have predicted or avoided or
• an event or circumstance which we could not have predicted or avoided even after taking all reasonable care (see clause 9)
• the fault of anyone who is not carrying out work for us (generally or in particular) at the time.

In addition, we will not be responsible where you do not enjoy your confirmed arrangements or suffer any problems because of a reason you did not tell us about when you made your booking or where any problems you suffer did not result from any breach of our contract or other fault of ourselves or where any losses, expenses, costs or other sum you have suffered relate to any business.

Please note, we cannot accept responsibility for any services which do not form part of our contract.

Prices and Website Accuracy

12. Please note, the information and prices shown on this website may have changed by the time you come to book your holiday.Whilst every effort is made to ensure the accuracy of the website and prices at the time of printing, regrettably errors do occasionally occur.You must therefore ensure you check all details of your booking (including the price) at the time of booking.

Complaints and problems

13In the unlikely event that you have any reason to complain or experience any problems with your holiday whilst away, you must inform us immediately.Until we know about a problem or complaint, we cannot begin to resolve it.

Additional Information

14.1Hotel Car Park:A £5 refundable deposit is required for the car park key plus £2 parking fee per stay/car/bike - charged on arrival. The key can be got from Reception. If the car park is full, scratch cards are available to purchase from Reception and are valid for 4 consecutive days. Our Car Park is strictly for hotel residents only.
14.2We would like to point out that Saxonville Hotel does not have a lift. There are 6 steps up to the front door of the hotel.
14.3The Hotel is strictly non-smoking.

Children

15.1 Up to 2 children can be accommodated when sharing with 2 adults.(subject to availability)
15.2 Bed and Breakfast for children aged 5yrs and under 12yrs is charged at £8.00 per child per day.
15.3 Dinner, Bed and Breakfast for children aged 5yrs and under 12 yrs is charged at £18.50 per child per day.
15.4 Dinner, Bed and Breakfast for children aged 12 and under 16yrs is charged at £32.00 per child per day.
15.5 Cots and highchairs are available upon request.
15.6 Children 10-15yrs sharing with 2 adults are charged at half the adult rate.
15.7 Children in a separate room are charged at two thirds of the adult rate, (subject to availability)

Saturday Night

16.1 Saxonville Hotel do not take internet bookings for 1 night on a Saturday.If a booking is made, we reserve the right to refuse this.
16.2 If 1 night is required you will need to telephone:01947 602631 to check availability.

The Fairfield Restaurant

17.1 Breakfast:This is included in your tarrif and is served between 7.30am and 9.30am
17.2 Dinner:This is served between 7.00pm and 8.30pm

• The 4 Course Table d’hote menu is available at a surcharge of £21.00 per night per hotel resident
